Membership Policies

 

New member's registration

  • Completed Registration Forms are required to be returned by the next training session.
  • Children under the age of 18 must have a parent or guardian verify their membership application.
  • The Head Coach or the Office Administrator will enter Information contained in the enrolment form into the Club's database, in accordance with the requirements of Gymnastics Australia and the DGC Privacy and Confidentiality policy. A statement to this extent is printed on the registration form.
  • The completed registration forms will be stored in the DGC Office filling cabinet for at least 2 years.
  • Class rolls and medical reports are prepared by the Head Coach or the Administration Officer for each class and stored on the coaches class folder.
  • The registration is not complete, until full payment of the annual registration fees is made at the Office. The GNT and GA fees for the coming year are advised following the GNT AGM in each year. The DGC membership fee is set by the DGC Management Committee at the DGC AGM.
  • Registration Reports and payments are required to be made to Gymnastics NT by the Office Administrator.

Existing member's re-enrolment

  • Each school year parents/guardians are required to fill in a new Registration form.
  • Information is updated on the DGC database by the Office Administrator.
  • Any altered medical information is passed on to the Head Coach to ensure that the Coaches are informed of the changes.

Unpaid membership registration fees

If a gymnast's membership registration fees remain unpaid by the conclusion of the gymnast's 3rd week of participation, the gymnast will not be able to take the floor until full payment of those fees is made.

The Head Coach is responsible for monitoring this situation on advice from the Office Administrator.

Overdue training fees

Gymnasts who have not paid training fees, or have not arranged a payment schedule by the end of week 3 of each Term shall be sent a statement of account and invoice. Failure to pay fees will result in a reminder letter. However, if fees are not paid by the end of Term, the matter will be referred to the Small Claims Division of the Local Court.

Gymnasts shall not be permitted to attend classes until outstanding fees are paid. Non-financial gymnasts will not be permitted to represent DGC at any competition until all outstanding fees are paid. The Head Coach is responsible for monitoring this situation on advice from the Office Administrator.

Refund of training fees due to illness

Generally training fees are non refundable. However, where written notice is given of long-term illness, gymnasts' training fees may be credited to the next term. Gymnasts and/or parents will need to write an 'Application for refund' and lodge it together with a Doctor's Certificate with the Office Administrator.

4th Term registrations

Gymnasts joining DGC in Term 4 will have the option of paying an increased fee to cover registration for the forthcoming year, as well. This fee will be the fee notified by the GNT, which includes GA registration, plus 125% of the DGC membership fee for the current year. The fee calculated will be rounded to the nearest $5.00.

The Office Administrator will maintain a record of all gymnasts who have paid registration for the forthcoming year. This list must be readily available on registration day of the forthcoming year and until all gymnasts on the list have rejoined their classes.

Transfer (GNT Handbook page 21)

Persons wishing to transfer their Club Registration must complete all necessary formalities and be registered and cleared with the new club for at least 2 calendar months (or have the written agreement of the previous club) before being eligible to compete for the new club. The Board of Management does not have the power to waive this non-competitive period). No affiliate member shall refuse permission for any gymnast member to transfer to another affiliate club, provided that they are fully paid up members of their existing club at the time of transfer with no outstanding financial commitments to the club.

Dual membership (GNT Handbook page 21)

  • Membership with more than one club is acceptable, however, gymnasts can be registered with 1 club only.
  • Gymnasts shall only compete for the club with whom they are registered, unless they are competing in different disciplines. In this case, they can compete in these disciplines if the competition is not clashing with each other.
  • The foregoing regulation shall not apply to any gymnasts representing his/her school in a competition organised within the school system.

Insurance (GNT Handbook page 23)

The GNT provides one of the most comprehensive and cost effective insurance programs possible for every aspect of gymnastics, its affiliates and participants through the Gymnastics Australia National Insurance Program.

Participation in the GA National Insurance Scheme is automatic upon payment of gymnast registration, club affiliation or technical membership fees and is deemed compulsory for all affiliates.

A copy of the Policy Schedule can be obtained from GNT. Advice on making a claim and other information relating to the Policy can be obtained from the GNT office.
